It has come to my attention in our preparation for the upcoming Open House this Saturday, that some owners had not received notice in a timely manner and as President, I take full responsibility and apologize. It appears in our efforts to provide owners complete information we are actually guilty of “communication overload!” We have communication inefficiency. Most of you know Gayle has sent you comprehensive detailed updates. On top of that the Board has been meeting bi-weekly and weekly. Mary Jo Lyons has been drafting the minutes and getting them posted. We normally post notice of these meetings in our Newsletters but we have suspended the Newsletters because of the volume of information we send you on a weekly basis.
BOTTOM LINE FOLKS, the formal notice of the meeting slipped through the cracks! I apologize. We are exploring doing an audio recording of the meeting and making it available post meeting. In addition, a full written report will be available, shortly after the meeting. The purpose of this meeting is to provide a comprehensive status report on reconstruction. I am sure most of you want to ask questions about your own condo, you will be able to set appointments to do that.
In an effort to improve our communication efficiency I have asked that the following be done:
We are now in the most difficult phase of any rebuilding project. We have 100 individual units in 13 buildings. We have 100 owners making hundreds of individual choices in their units which Gayle is coordinating with Roadrunner and Builders Trends. In order to get better communication, I am proposing the following:
- Gayle will do weekly Updates (weekly)!
- Those updates will be trimmed down to give the owner’s essential information they need without confusing detail. More can be obtained from Gayle anytime.
- Minutes of the Board’s conference call minutes will be posted within a week after the meeting.
- Formal notice of all future meetings will be sent as a stand-alone notice to all owners two weeks in advance.
Now, I think you will be very pleased with our rebuilding financial reports from Treasurer Tom Geren and Deidra Muchmore with Crossroads Insurance Recovery Services! Stay tuned!
